Introducing Agency Hub

News

We've built a free client management tool directly into your client portal account, so you can organise every client, project, and password without paying for yet another subscription.

If you manage websites, hosting, or digital services for other businesses, today's announcement is for you. We're delighted to introduce Agency Hub, a powerful new client management tool that's built directly into your Host Media account, completely free for any customer with an active hosting or domain service.

No new software to learn. No extra subscription to justify. No setup wizard to wade through. Just a clean, capable hub that helps you run your agency or hosting portfolio the way it deserves to be run.

"We wanted to give web professionals something genuinely useful, not a stripped-back trial, but a fully featured tool that respects how agencies actually work."

Why we built the Agency Hub

We talk to a lot of web agencies, freelancers, and resellers. And one thing comes up again and again: the organisational overhead of managing services for multiple clients is genuinely painful. Spreadsheets for tracking of hosting services and even for logins. A separate tool for project management. Another one for tracking what each client owes you. Notes scattered across email threads.

The irony is that the hosting service, the one place every web professional already logs into, has always been missing a layer to tie everything together. Agency Hub is that layer.

What Agency Hub does

Agency Hub gives you six interconnected tools, accessible from a single dashboard inside your client area:

Agency Hub by Host Media

Client Management

Build a proper record for each business you work with, contact details, website, lifecycle status, and notes. It is a streamlined and focused CRM for your business.

Service Assignment

Link your hosting packages and domain names to the right client. See everything in one organised view.

Revenue & Profit Tracking

Log what you charge each client and see your monthly revenue, costs, and margin at a glance.

Kanban Project Boards

Create per-client boards with customisable columns, priority cards, due dates, and threaded comments.

Secure Credential Storage

Store encrypted usernames, passwords, and URLs per client, masked by default, revealed on demand.

Notes & Activity Log

Pinnable notes on any client record, plus an automatic audit trail of every action taken.

A Closer Look at the Highlights

Client management that actually makes sense

Each client record in Agency Hub works like a lightweight CRM. You store the basics, company name, contact, email, phone, address, website, but also set a lifecycle status: Lead, Active, Inactive, or Former. That simple status field alone changes how you think about your portfolio. You can see at a glance which clients are live retainers, which are going cold, and which you're still in conversation with.

Revenue tracking built for resellers and agencies

One of the most requested features from our reseller customers has been better financial visibility. Agency Hub's revenue tracking lets you log what you charge each client, whether that's a monthly website management retainer, an annual SEO package, or a quarterly support contract. The dashboard normalises all of these into a single monthly figure so you can see your total revenue, what you're paying us for the underlying services, and exactly what your profit margin is. It's the kind of financial clarity that used to require a separate tool or a very elaborate spreadsheet.

Project boards without the extra subscription

Every client in Agency Hub can have unlimited project boards, each one a fully featured kanban workflow. You can set up columns that match your process; to do, in progress, review, done, or customise them however you like with colour coding. Cards carry titles, descriptions, priority levels (Low through to Urgent), and due dates. Your team can leave threaded comments on individual cards to track decisions and discussions.

If you've ever paid for a project management tool just to use it for client work, Agency Hub may well be all you need.

Credential storage that's actually secure

We've been direct with our customers about this for a long time: storing passwords in a shared spreadsheet or an unencrypted document is never a good idea. Agency Hub's credential storage encrypts everything. Passwords are masked by default and only revealed temporarily when you explicitly request it. You can store credentials at the client level or tied to a specific service, alongside a label, username, URL, and notes. One click copies to clipboard. It's fast, it's secure, and it means you can finally retire that shared Google Sheet.

How to access Agency Hub

There's nothing to install and nothing to configure. If you have an active hosting package or registered domain with Host Media, you'll find Agency Hub in the navigation of your client portal, just look for the Agency Hub link in the menu.

From there, the setup takes minutes:

  1. Add your first client record
  2. Assign the relevant hosting or domain services to that client
  3. Log what you charge them to start tracking your revenue
  4. Create a project board if you have active work to manage
  5. Store any credentials you'd otherwise keep elsewhere

That's it. Most users have their first few clients set up within minutes of logging in for the first time.

What's coming next

Agency Hub is already a capable tool, but we're not stopping here. We're actively working on improvements based on feedback from early users, including configurable currency settings for customers who invoice in currencies other than GBP, enhanced filtering and search across the client and services views, and further accessibility and mobile improvements throughout the interface.

If you have a feature request or feedback on what Agency Hub is missing, we'd love to hear it. Drop us a message through the support centre, every piece of feedback directly shapes what we build next.
